PART A: GENERAL TERMS FOR ALL USERS

Aim

We aim not to collect more data than is necessary for the proper functioning of Our website.

 

What data do We collect?

Our site is hosted on the Wix.com platform. Wix.com provides Us with the online platform that allows Us to provide Our website to You. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. Wix store Your data on secure servers behind a firewall. 

 

We only store data that You have entered into Our forms (e.g. information You put into contact forms or event rsvps.) Please take care to consider what You are entering into each form – as all of this information is sent to Us and stored. A non exhaustive list of the type of data We typically collect through these forms is as follows: First Name, Surname, Email Address, whether You are a member of a Rotary Club, whether You are planning to attend an event or not, as well as any content You include in free text sections.

 

This data is sent to Us by email and is stored in one or more of Our email accounts and/or in Our cloud storage. A copy is also stored on Our website platform in the contacts section.

 

Why do We collect this data?

We collect such non-personal and personal information for the following purposes:

To provide and operate Our site;

To provide You with assistance and technical support;

To create aggregated statistical data when this is required by platforms We use to be able to provide this site 

To operate Our events and communicate with You where You use Our site to record Your attendance/non-attendance

Where You use Our volunteer platform “Ask Rotary”  to connect You to volunteers or people needing volunteers and to keep a record of Your having used this service

To comply with any applicable laws and regulations

 

 

PART B: MEMBERS

In addition to the above if You are one of Our members and choose to sign up to Our membership section, We set out below how information stored in Our membership section is used.

 

Aim:

We aim to only collect data that is strictly necessary to the functioning of the website and Rotary service aims.

 

Information provided upon sign up:

When You sign up to Our members section We will collect and store the following: Your name; email address; chosen password; country; personal access code (called RCD) This information is stored on Our website but is not made available to other members.

 

Information You choose to share in the membership section:

The membership section is a resource for all members of Our club. Access to this part of the website is restricted to members of Our club and is dependent on sign on credentials.

Information You choose to share in this section is only made available to members of Our club who also chosen to use this service. You can choose what to share in Your profile section. You can choose to share information such as name; email address; mobile phone number; member photograph.

 

The previous paragraph does not apply to information You choose to share on sites outside Our own. Sharing Your profile with platforms such as Facebook, Twitter, etc. sends Your information outside Our control. We do not recommend You do this as We cannot control what happens to this information.

 

You may also wish to avail of Our professional profile section and/or communicate offers that may be of interest to other members. You may opt into to this by following the instructions and sending content You wish to share to the designated email address. The content sent via email will be stored in Our email account and be published in the section of Our website until You request its withdrawal.

 

Information shared by Us in the membership section:

From time to time We shall provide information about Our club in this section. This information shall be made available to all members of Our club who choose to use this service.

 

PART C: RESPONDING TO SURVEYS USING MICROSOFT FORMS

Sometimes We use Microsoft Forms to collect data through surveys. This is often done to determine the views of our members and others on issues of importance to Our club. Where You participate in such a survey, any information You include will be emailed and uploaded to Our storage in the Microsoft cloud. This information may only be viewed by members of the Our club council, and in the case of project applications by Our project application committee.

 

PART D: AMENDMENT

Amending Our Policy

We reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If We make material changes to this policy, We will notify You here that it has been updated, so that You are aware of what information We collect, how We use it, and under what circumstances, if any, We use and/or disclose it. 

 

Amending information We hold about You

If You are a member You can do this directly in Our membership section.

 

If You are not a member and would like to: access, correct, amend or delete any personal information We have about You, You are invited to contact Us by using the contact us section.

 

If You don’t want Us to process Your data anymore, please contact Us by using the contact us section. You can also do this to request a copy of information stored about You.

We run Our site through the Wix platform. Wix have informed Us they collect the following Cookies as part of their platform:
